Program

COURSE PROGRAM
Integrating EDRMS within an Overall IM Strategy
Implementing an e-document and records management system within a department is a complex change management process involving people, processes and technology. Far from providing just a filing system, the corporate record provides the fundamental building blocks for information management within an organization. This discussion details what EDRM systems are and how they fit into the overall IM strategy.

What is EDRM and how can your department benefit?

Understanding how EDRM links to IT and business strategies

Linking document management, records management and workflow

Where EDRM technology is heading and how it will affect the way government business is conducted

Making the Case for EDRMS
This discussion describes how to make the case for EDRMS by defining the scope and requirements for developing and implementing an EDRMS that meets the needs of all stakeholders.

Identification of the required EDRMS functionality to meet both organizational goals and user requirements

Developing a roadmap to enable enterprise wide roll out

Ensuring just-in-time validation of the architectural components to meet business and compliance needs

Development of an IM architecture that meets stakeholder needs

Implementing the EDRM System
Once your organization is ready for implementation, how do you make sure it goes off seamlessly and that it delivers the results you require? How do you make sure the right policies are in place and will be followed? This discussion details how to install, configure and train users for maximum benefit.

Defining the scope of the EDRM project

Developing an action plan

Critical role of change management in obtaining user buy-in

Place-Based Data: Metadata Management
Many new information products are "place-based", meaning that geographic locations are added to other data to produce new information services. This presentation describes place-based information services and their close connection to Metadata management.

Role of Metadata in sharing and using structured data

Open data and crowdsourcing

Merging of GIS data with other records

Integrating Information Management Strategies with "Mobile" Delivery of Content
This session will explore a CIO's perspective of mobility, information management and the integration between back office and mobile technologies, examining the changing technological environments and sound information management best practices.

Linking old and new worlds: role of smartphones & tablets in EDRM

Both ends of the septum: mobile/consumerization to back office lockdown records management

CIO's perspective on records management and today's technology: tablet and smartphones

Right data, right place, right time: right time = NOW and wherever I am

Integrating information management strategies with "mobile" delivery of content

Freeing the End User: Modern Techniques for Automated Recordkeeping
For too long, user adoption in most document/records solution implementations has been unacceptably low. Generally, users are simply not willing to participate in recordkeeping, seeing it as a burden that interferes with their ability to get their work completed. This session will explore methods & techniques to remove the user from the recordkeeping equation, while achieving recordkeeping compliance.

State of the art methods and techniques to remove the user from the recordkeeping equation

Achieving recordkeeping compliance without having to acquire any costly or complex technology

Management of Structured Data
In today’s business environment, numerous information repositories contain high value information that fall outside the class of EDRMS. Determining what can be done to assess and mitigate any risks associated with managing information in these repositories is a key concern to EDRM and IM professionals, as not everything fits into the EDRMS box.

A tested approach to addressing the management of structured data

Developing a structured information strategy

Assessing and mitigating risks associated with managing information

Driving EDRM Cultural Change
Just because you have an EDRM system in place does not mean you have a healthy EDRM program. Indeed, the challenge is often not in the system implementation but in getting people to use it. This discussion details how to align people, processes and technology when managing an EDRM system.

Challenges that come with moving to an EDRM environment

Understanding management's mindset and building the case for change

Hurdles to success in cultural change programs

Identifying key ways to sell the benefits to users

Implementing an effective staff training program

Findability: Solving the Findadibilty Crisis
With the exponential growth in information holdings that organizations are experiencing, locating and finding information is becoming more and more difficult. This session will explore methods that can be used to help make information searchable and, more importantly, findable.

Strategies to be addressed at the content level itself

Best practices for improving access to information across the enterprise

Developing a Business-Driven Records Management Strategy
To be truly effective, an EDRM system must be driven by business goals and priorities. This discussion outlines how to develop an EDRM system that serves business needs.

Creating the proper and scalable EDRM plan for your organization

Ensuring your system meets organizational objectives in a tangible way
